POST TITLE: Administrative Assistant

JOB DESCRIPTION
The UNV Support Unit is part of UNMIT Administration and reports directly to the Office of the Chief of Mission Support.  The Administrative Assistant reports directly to the Programme Manager of the UNV Support Unit.
Description of Main Responsibilities:
Monitoring office stationary and requesting from supply as necessary to maintain a minimum stock level; Assisting with the processing of MOPs, R & R/Annual Leave requests; Receiving and monitoring return from leave certificates, sick leave certificates and other documents relevant to attendance and updating relevant records in the UNV Access database; Assisting with the check-in and check-out process; Assisting with the processing of the monthly attendance records; Assisting with the contract extension process; Assisting with filing during peak periods; Liaising with the Reproduction Unit to arrange multiple copies of documents as required; Visit staff deployed to the sectors, on a rotational basis, to promote well being and maintain morale; Any other tasks as requested by the Programme Manager.

Professionalism: Good understanding of the function and organization of the work of the unit, as well UN administrative rules and regulations. Ability to handle confidential and sensitive information approximately
Communication: Good oral and written communication skills. Ability to draft routine correspondence in English
Teamwork:  good interpersonal and customer service skills and ability to establish and maintain effective working relations in a multicultural and multiethnic environment.
Planning and organizing: Ability to prioritize work and assignment, meet deadline and sometimes work under pressure of multiple deadlines.

QUALIFICATIONS AND REQUIREMENT
Required Qualifications, Skills and Experience :
Education: High School Diploma
Experience: At least four (4) years of progressively responsible experience in administration and/or related areas of work preferably with an international organization; Proficiency with use of office equipment. Familiarity with the UN/UNV system is an advantage.
Language: Fluent in written and spoken English and Tetum.
Other: Good computer skills, including proficiency in electronic transmission and filling , word processing data entry ,spreadsheet and use of e-mail or internet; A valid national driver’s license, the ability to drive a 4 wheel drive vehicle and driving in rough off road conditions is beneficial.
