POST TITLE: Administrative Assistant

JOB DESCRIPTION:
Under the direct supervision of the Senior Gender Affairs Officer, the incumbent will: Assist in all general administration support tasks such as reproduce memoranda/letters, fax, scanning of documents; maintaining paper and electronic files; enter, update and maintain administrative data and records in electronic information systems; manage, update, maintain and further develop internal tables, and consolidate data received in a timely and efficient manner; keep the appointment schedules; deliver and collect documents to and from the concerned offices; process, monitor and follow-up on actions related to the administration activities; respond to enquiries, provide information and advice to staff members regarding their administration issues and related procedures; monitor and maintain attendance and other records of staff members; assist the office in the follow up of projects; review and certify requisitions of stationary, furniture and equipment; general secretarial duties for Gender Affairs Officer and perform other duties as required by the supervisor.

Planning and organizing - Ability to prioritize work and assignments, meet deadlines and sometimes work under pressure of multiple deadlines.
Commitment to Continuous Learning: Ability and willingness to constantly improve administrative skills and adopt technical innovations; monitor own work, good documentary preparation for meetings.

QUALIFICATIONS AND REQUIREMENTS:
High School Diploma.  At least 4 (four) years of progressively responsible experience in administration and/or related areas of work preferably with an international organization. Proficiency with use of office equipment. Fluency in spoken and written English and Tetum; East Timor nationality.
Computer skills - Good computer skills, including proficiency in electronic transmission and filing, word processing data entry, spreadsheets and use of e-mail or internet.
